Shore Up Your SharePoint with the M-Files Enterprise Content Management System

Posted on July 27, 2016 under Advice by

Although Microsoft SharePoint is one of the most widely used information management technologies in the world, in their “Anatomy of a Decision: M-Files” report, Nucleus Research found that SharePoint was lacking in enterprise content management (ECM) system-specific criteria such as document management, document classification, security and audit trails. Many organizations agree with this assessment — having heavily invested in SharePoint as a collaborative infrastructure only to find it has some serious whitespace when it comes to fulfilling document management needs. We’re seeing this more and more often, especially at the enterprise-level, and it’s a problem that M-Files addresses rather elegantly.

M-Files + SharePoint = Best of Both Worlds

SharePoint is certainly in no way a replacement for ECM, but the two technologies can work in concert to complement each other’s strengths. By using ECM in tandem with SharePoint, users benefit from the collaboration aspects of SharePoint on the front end–while the ECM system provides archiving, security, workflow, auditing, and other document management capabilities on the back end. . M-Files takes this one step further by solving specific SharePoint challenges:

  • M-Files provides a rich document management feature set– M-Files hits a home run when it comes to delivering the complete document management package. With our metadata-centric approach, M-Files makes it easy and intuitive to manage, track and store documents. M-Files organizes content based on what it is—so you never have to worry about where the document is saved—or which version is the most recent.  You get fast access to the correct version of documents.
  • M-Files metadata approach provides flexible security– Security can be quite the paradox. Staff, partners and others all want access to content, but at the same time you need to avoid security breaches or what a client of mine calls, “that Channel 4 News moment.” M-Files fully protects your documents and data with robust security features like access control, authentication, file encryption, intrusion detection, etc.
  • Audit trail capabilities in M-Files supports compliance and quality efforts– Many organizations are facing increased regulatory scrutiny, and all companies want to enhance their quality management efforts. Audits are an essential function/process when it comes to quality and compliance and the built in audit management features in M-Files provide these critical capabilities. You can report on which staff member has performed an operation and when they did it, as well as record events related to a file or object such as creation, modification, reviewed, approved and deleted. Moreover, M-Files provides this information in “an easy-to-digest manner.”

While we are certainly not suggesting you replace your SharePoint deployment with M-Files–we’d like you to see what ZDNet’s Ken Hess wrote about M-Files being “A better SharePoint than SharePoint.”
